A large global pharmaceutical, medical devices, and consumer packaged goods manufacturer was using an outdated system to manage contracts for its customers, primarily hospitals and medical clinics across the U.S. This system was required to ensure compliance with healthcare regulations by verifying customers as legitimate organizations and keeping a database of all contract records. Learn how Chateaux was able to simplify and modernize the healthcare contract compliance management system with a streamlined user interface, enabling business users to modify and manage a multitude of contract templates without any IT involvement.

A large global pharmaceutical, medical devices, and consumer packaged goods manufacturer was using an outdated system to manage contracts for its customers, primarily hospitals and medical clinics across the U.S. This system was required to ensure compliance with healthcare regulations by verifying customers as legitimate organizations and keeping a database of all contract records. The system allowed the client to validate customers by cross-referencing third party government agencies, as well as to securely send and receive signed contracts from clients.

The system was lacking an efficient way for users to modify existing templates or to create new templates. With over twenty five different contract templates developed and managed using outdated Microsoft .NET software, it was very time consuming to make updates. In order to make even small changes, users would need to send requests to the development team, often waiting a month or longer to receive the updated template.

The client needed a simplified contract template management system that could be used by business users on a regular basis to easily modify templates. They turned to Chateaux to modernize their system, fix all performance issues, and enhance various processes for adding new functionalities and maintaining settings.

The Chateaux team began by gathering all requirements from the client through a series of executive interviews. Then they designed a solution with the latest .NET technologies which would allow the client to view and manage contracts and their amendments, reports, and lists of healthcare professionals, as well as create automated contract workflows. The ability to execute and track debarment scans was added, and enabled the client to automatically attach evidence to contracts. Multi-company support was also built into the contract management system to allow other divisions to engage with healthcare providers by accessing the same system. Numerous rounds of quality assurance testing were completed before implementing the solution for the client’s Customer Access department.
Chateaux delivered a custom application which currently has about forty users in the Customer Access department at the client’s headquarters. The solution has a streamlined user interface which enables business users to implement changes to contract templates in only minutes, without requiring any involvement from the IT department. The Customer Access group can effortlessly create new contracts, generate comprehensive reports, and maintain lists of healthcare providers all from within the new online healthcare compliance portal. In light of the success of the project, the client has requested that Chateaux continue to provide support and enhancements to the system as well as provide training for the users.
